United Way of Will County Donor Privacy Policy

This statement demonstrates our firm commitment to your privacy. The following discloses our information gathering and dissemination practices for handling donor information, received either offline or online.

We will never share, rent, give, or sell your email address or any other personal, contact information. The only exception to this applies to donor designated funds. See Donor Designated Funds section for details.

Offline Donations

A. Includes donations received via:

  • Workplace pledge card
  • Designation form (see Donor Designated Fund section for details.)
  • Individual pledge card
  • Pillar Society Membership Form
  • Direct from company

B. What We Collect:

  • Name
  • Address
  • Phone number
  • Email
  • Employee Number (Workplace only)
  • Company Affiliation (Workplace, Designation Form, Pillar Form)
  • Spouse Name (Pillar only)
  • Anonymous Status (Pillar only)

C. We do not publish any other donor names.

  • Our Annual Report includes a listing of all Pillar Member’s. If a Pillar Member selects “anonymous” their name will not be printed in our Annual Report.

D. How Information Will Be Used:

  • Andar: All donor information is entered into our donor management software. Only United Way of Will County staff have access to this software.
  • Recognition: Contact information will be used to properly thank and credit the donor for their contribution.
  • Email Communication: In order to opt-in to receive email communication, donors are asked to provide an email address. If no email address is provided, we consider this as an opt-out.
    – Users may opt-out of receiving email communication at any time; see the choice/opt-out section below.
  • Personal Contacts: We will reach out by phone or email, if we have any issues or questions when processing the donor’s gift.
  • We will NOT use the individual donor’s contact information to ask for multiple gifts in the same fiscal year. Exceptions to this are individual donors who have self-identified as interested in receiving these requests.

Online Donations

We offer the donor a 2-step, online donation form to support our organization.

A. Step 1: Information Collected with Website Form:

  • Name
  • Street Address
  • Email Address
  • Phone Number
  • Workplace Campaign Confirmation
  • Employer Name, if applicable
  • Comments Section (used for Donor Designations)
  • See Donor Designated Fund section for details

B. Step 2: PayPal Portal for Donation Processing

  • Amount of Contribution
  • Credit Card Information
  • PayPal is a secure portal, and credit card information entered through PayPal is never divulged to us nor any outside party.

C. How Information is Used

  • Andar: All donor information is entered into this donor management software. Only United Way of Will County staff have access to this software.

Online Engagement Opportunities

A. Website: www.uwwill.org

  • Our site does not require a registration form for use.
  • Any information collected through forms on our website for the United Way of Will County, i.e. Event Registration, will follow online donation rules as stated above.

B. Links to Other Websites

  • Our website contains links to other websites. United Way of Will County is not responsible for the privacy practices or the content of such websites.

C. Constant Contact: Email Marketing

  • A form link is provided on our website for any user to register to opt-in to receive email communication from our organization.
  • Upon opting in, users may opt-out, at any time, to no longer receive email communication. Please see Choice/Opt Out Section for more details.

D. Social Media Sites: Facebook, LinkedIn, Twitter, LinkedIn and Instagram

  • Users must have their own social media account and then opt-in (like or follow) to be actively engaged with us.
    We track United Way of Will County post engagement analytics on these sites, in order to help direct marketing efforts.

E. Online Volunteer Center Website: www.uwwill.galaxydigital.com

  • Any user of this site can search for volunteer opportunities or organizations.
  • If a user is interested in responding to a volunteer need or event, the user will be asked to complete a short registration form.
  • During the registration process, the user will be asked to check issues and causes they are passionate about. That information will be used to match the user with future volunteer needs or events they might be interested in.
  • Personal contact information is never shared with any organization, unless the user chooses to respond to a specific organization’s direct need or event.

Donor Designated Funds

This is when a donor chooses, of his/her own accord, to send their gift through United Way of Will County, to another organization.

  • Donor contact information is only shared with the donor’s chosen, recipient organization.
  • Some Workplace Campaigns strictly prohibit United Way of Will County from sharing any donor information, even with donor designated organizations.
  • In these cases, the donor must self-identify their gift directly to their designation organization. United Way of Will County is not responsible for the privacy practices of donor designated organizations.
  • Donors may opt-out of having their contact information shared with their donor designated organization, known as designation release status.

Choice/Opt-Out

Donors, at any time, may choose to change their designation release status or opt-out from receiving future communications.

Donors, at any time, may change, modify or request name/contact information to be deleted from our database*.

*Note on Deletions:

  • If gift and request to delete is made during the same fiscal year, we will delete contact information and change name to ANONYMOUS.
  • The tracking of donations made is required for auditing purposes.

Security

B. PayPal

  • A leader in secure, online financial transactions, is our vendor of choice.

C. Website

  • At no time do we take financial information directly through our website.
  • Our site has security measures in place to protect the loss, misuse and alteration of provided, personal contact information under our control.
  • Paper Documents
    Hard copy files are kept securely within our locked office, and are used for auditing purposes
    Files are kept for seven years. After retention period expires, files with personal donor information are shredded.

Anti-Spam Policy

  • We do not send emails to people that do not have a relationship with our organization.
  • This relationship can start in the following ways:
    – Opted-in to one of our email lists either through our pledge card or submitted the electronic registration form from our website.
    – Made a donation to one of our programs.
    – Purchased a ticket for one of our events.
    – Attended one of our events.
    – Serves as a Board Director to one of our funded partners.
